Loughborough Students' Archery Club - Committee

The committee are responsible for the general running of the club, each with their own various responsibilities as detailed below. If you are interested in joining the committee, or want to contact the whole committee, please send an email to: lsu-archerycommittee@lists.lboro.ac.uk


Chair (James Cowie)
  • Preside over meetings, break deadlocks.
  • Development plan.
  • Oversee transition forms - budget, grant form, with committee.
  • Public voice of the club, including:
    • IOM, General team manager;
    • Communicate with Union;
    • Liaison between other clubs, both other Uni archery clubs and other LSU clubs;
    • Represent the club at County;
    • Attend Union meetings.
  • Organise BUTTS -
    • Send details, when, where and session times;
    • With help, do target list and score sheets;
    • Check for plenty of faces (with Equipments secretary);
    • Welcome clubs for the day;
    • Rotate bosses on the day (with club);
    • Running slips and spreadsheet (with club);
    • Make sure social is organised (with Social secretary);
    • Ensure general smooth running and lots of help.
  • Check the club's pigeon hole.
Vice Chair (Jade Smith)
  • IMS -
    • Communicate with IMS organiser;
    • Choose date, fit into session time (preferably an extended session), not to clash with Competitions;
    • Encourage committee / experienced archers to Coach;
    • Run session (use club bows and IMS arrows - not club arrows);
    • Simple scoring - 1 dozen arrows.
  • Health and Safety -
    • Go to training at the start of the term instead of Secretary;
    • Responsible for the medical bag - keep stocked;
    • Train new session leaders, co-ordinate with senior session supervisor;
    • Risk assessments - complete as the need arises in line with Athletic Union policy;
    • Emergency contact numbers - laminated form in cupboard, inform session supervisors.
  • Coaches -
    • make sure we have at least two;
    • Contact club if they are unable to attend;
    • Contact them if sessions are cancelled or extended;
    • Club kit for Coaches;
    • Thank you basket at the end of the year;
    • Invite them to special events.
Secretary (Ashleigh McCloud)
  • Takes minutes at each meeting.
  • Write agenda and notify Club.
  • Club kit - talk to finance officer in AU, encourage club to buy kit, keep list of names, positions, sizes and student ID, send to finance officer, check artwork is correct.
  • Check the Club's pigeon hole.
  • Manage the club / committee e-mail list.
  • GNAS membership -
    • Pick up forms from Post;
    • List of members from finance officer - AU;
    • Complete forms as instructed;
    • Wait for full list of members;
    • Give to treasurer with general claim form to add money from budget and send off to county;
    • Give out stickers and cards as required;
    • Ask county secretary for additional plastic cards as required.
  • Compile waiting list from fresher's fair and e-mail them as places become available - note experienced archers and prioritise
  • If strong interest, can talk to finance officer and add extra spaces.
  • Talk to finance officer about half-year membership or payment problems.
Treasurer (Phil Glover)
  • Maintenance of budget and private account.
  • Private account - made signatory at beginning of year -
    • Statements via. AU;
    • Money transfer by Cheque;
  • Budget account - claim forms, web / finance officer -
    • Use correct form - invoice, BUSA, bus, etc.;
    • Everything that requires a VAT receipt;
    • Inform drivers that all petrol claims need a VAT receipt;
    • GNAS - submit claim form and send off forms to county;
    • Equipment invoices;
    • Competitions - BUTTS fees, Accommodation fees, Entry fees;
  • Check the club's pigeon hole.
Team Captain (David Corlett)
  • Book bus - AU office, Lynn, fill in forms, pass on passenger list to Driver.
  • BUTTS - e-mail and organise our club. Send list to host Uni, talk to driver and decide if attending social, keep open communication with other Uni's, fill in team list correctly, do as soon as possible.
  • BUSA - Same as above, but do it all sooner. Outdoors, need tents, decide with committee if camping.
  • Other competitions - decide with committee which to attend as club and how it's financed (individuals, private account, budget), encourage non-Uni shoots, money from treasurer to enter (cheque or general claim form), enter as required.
  • Accommodation - Look into session / time / travel distance, is accommodation required? 200 miles permitted per day per driver. Check with chair / committee, local hotels, campsites, travel lodge.
Equipments Officer (Thomas Goodwin)
  • Overall maintenance of club equipment, should be safe at all times.
  • Audit at the beginning of the year and help the new officer at the end of the year.
  • Check the cupboard at least once per week, tidy...
  • Can stop any one shooting a club or personal bow if deemed unsafe.
  • Upkeep and replacement of equipment.
  • Ordering - get quote, submit to union (through Treasurer) attaching general claim form, Treasurer to send cheque to company, pick up delivery as soon as possible.
  • Prepare IMS arrows, use real fletch tite.
Social Secretary (Julie Fisher)
  • Fresher's social - choose 3 - 4 places, challenges (doable and simple), pick up safety form from AU office.
  • Sheep packs - Tuesday 12:00 - 2:00, room next to AU office.
  • Skittles - ring / go to Swann, talk to Barman.
  • Post Home match socials, Persuade Club to attend the entire competition, e-mail Team captains, get numbers, book food (i.e. Noodle bar), arrange post meal Pub.
  • Hey Ewe - Queue jumps, e-mail AU president (10 - 20 people).
Records & Publicity Officer (Andrew Buchan)
  • Upkeep of website -
    • Scores from competitions;
    • Update new records;
    • Session times;
    • Minutes;
    • Random quotes must not be removed!
  • Newsletter - monthly, Club info, pictures, gossip, name and shame...
  • E-league - Encourage scoring, send off by 6th each month, e-mail, hits, golds, score, date, location.
  • Publicise - Label, WOW, Sports directory - put in Fresher's rooms, local papers, etc.
Novice Representative (Michael Bradley)
  • Liaise with novices and the committee.
  • Gain experience in the committee.
  • Encourage novices to score / attend competitions.
  • Keep novices in the Club.
  • Bring forward novice complaints.
Novice Representative (Jade Smith)
  • Liaise with novices and the committee.
  • Gain experience in the committee.
  • Encourage novices to score / attend competitions.
  • Keep novices in the Club.
  • Bring forward novice complaints.
The S.T.U.B.B.S. (Chris Birmingham)
  • General dogsbody.
  • Aid equipments officer.
  • Represents the Club - Complaints, acts as the experienced Rep.
  • Fill in when other committee members aren't pulling their weight.
  • IOM T-shirt.
  • Badges, etc.
