Loughborough Students' Archery Club - Committee

The committee are responsible for the general running of the club, each with their own various responsibilities as detailed below. If you are interested in joining the committee, or want to contact the whole committee, please send an email to: lsu-archerycommittee@lists.lboro.ac.uk


Chair (Jonathan Ellis)
  • Chair all meetings (committee, GMs, AGMs).
  • Development plan.
  • Oversee budget and grant forms with treasurer.
  • Attend union meetings.
  • Communicate with union.
  • Liaison between other archery clubs and other AU clubs.
  • Train new session supervisors.
  • Represent club at county meetings.
  • Organise Loughborough BUTTS leg
    • Book hall ASAP for the whole day, persuade other AU clubs to give up their sessions if required
    • Send details of date, location and session times to the other BUTTS clubs
    • Complile target lists
    • Ensure we have enough faces, target stands, etc. (with equipment officer)
    • Ensure social is organised (with social secretary)
    • Organise judges and scorers for each session
    • Welcome visiting clubs on the day
  • Organise Isle of Man trip and act as General Team Manager.
  • Ensure general smooth running of the club.
Vice Chair (James Waterfield)
  • IMS
    • Communicate with IMS organiser
    • Choose suitable date and book hall (preferably Wednesday afternoon)
    • Encourage club to help with coaching, scoring, etc.
    • Check with Equipment Officer that IMS arrows are ready and prepared
    • Simple scoring - 6 practice arrows followed by 12 scored arrows on 122cm face at 20 yards
  • Waiting List
    • Compile waiting list of potential members after all membership places have been filled
    • Contact the AU after Christmas and ask for extra membership places
    • Email everyone on the waiting list when places are available
  • Coaches
    • Contact club if they are unable to attend
    • Contact them if sessions are cancelled
    • Organise club kit for coaches
    • Organise a thank you basket at the end of the year
    • Invite them to special events
  • Sign up as club Child Protection Officer
  • Responsible for medical kit bag
Secretary (Ben Clark)
  • Takes minutes at all meetings.
  • Write agendas for all meetings and notify club/committee.
  • Manage club/committee mailing lists.
  • Club kit - talk to finance officer in AU, encourage club to buy kit, keep list of names, positions, sizes and student ID, send to finance officer, check artwork is correct.
  • GNAS membership -
    • Collect forms from AU
    • Remove members who have left and add new members
    • Give forms to Treasurer to submit through AU
    • Collect new GNAS cards when they arrive
  • Organise club kit
    • Decide on kit design (with committee)
    • Contact suppliers with design
    • Contact club, once supplier has been chosen, asking for orders
    • Collect money from members
    • Send orders and payment to suppliers
    • Collect and distribute kit when ready
Treasurer (Tapiwa Chiwaridzo)
  • Maintenance of budget and private account.
  • Private account
    • Signatory on private account
    • Collect statements from AU
    • Keep track of all money going in or out
  • Claim forms
    • Submit claim forms as required for equipment, petrol, etc.
    • Use correct form, eg. BUCS claim form
    • Ensure receipt is attached
  • Submit competition entry forms.
  • Submit GNAS membership forms.
Team Captain (Arthur Coveney)
  • BUTTS competitions:
    • Organise team list for our club
    • Send list to host university
    • Organise drivers for bus/cars
  • BUCS Competitions:
    • Same as above, but further in advance
  • Other competitions
    • Decide with committee which ones to attend and how to pay for them (budget, private account, individuals)
  • Book mini-bus through AU for competitions if needed
  • Accommodation
    • Look into competition location of competition, maximum permitted distance per day is 200 miles per driver
    • If accommodation is required, look into the various alternatives (hotel, camping, etc.)
    • Decide, with committee, on which is the best option
Equipment Officer (Tom Cram)
  • Audit all equipment at the beginning of the year.
  • Maintain all club equipment
    • Repair arrows as required
    • Ensure bows are safe and in full working order
  • New equipment
    • Decide, with committee, what equipment is required
    • Purchase equipment
    • Submit receipt to treasurer so they can submit a claim form
  • Check and tidy cupboard once a week.
  • Prepare IMS arrows.
Social Secretary (Elliot Hill)
  • Organise fresher's social
    • choose 3 - 4 places
    • Submit safety form to AU
    • Organise two senior members to remain sober for the evening
  • Social shirt
    • Produce designs and show to committee for approval
    • Send approved design to suppliers
    • Take orders and money from members
    • Collect and distribute T-Shirts when ready
  • Collect sheep packs from AU office each week
  • Organise post Loughborough BUTTS social
  • Decide, with committee, on other socials to organise, e.g. paintballing, Christmas meal, skittles social etc. Roughly two per term.
Records & Publicity Officer (Mike Furlong)
  • Upkeep of website -
    • Competitions
    • Records
    • Session times
    • Minutes
  • E-league
    • Encourage everyone to submit scores
    • Send all scores off by the 6th of each month.
  • Publicise club (Sports Directory, WOW, Label, etc.)
  • Produce club newsletter once per term

Novice Representatives (Ben Brand & Philippa Relf)
  • Liaise with novices and the committee.
  • Gain experience in the committee.
  • Encourage novices to score / attend competitions.
  • Keep novices in the Club.
  • Bring forward novice complaints.
